Budget vs Actual

Budget vs Actual puts the budget you uploaded next to what each salon actually sold, so the question "who is behind, and by how much" has one answer instead of a spreadsheet exercise.

Find it in Draft Reports. The budget it reads is the one set on Franchise Management → System Budget. It covers The Lash Lounge, Bishops Cuts / Color, and Frenchies locations.

Three views

A tab strip above the toolbar switches between three ways of looking at the same year. Each has its own download.

TabOne row perWhat it shows
BudgetsalonThe budgeted figure for each of the twelve months, plus a Year Total. Pick a Year.
Budget vs ActualsalonYear-to-date budget against year-to-date sales, through a month you choose.
ActualsalonWhat each salon actually sold each month, plus a Year Total. Pick a Year.

The comparison view

Pick a Through month and the report totals January through that month for each salon:

ColumnWhat it means
Budget YTDBudgeted sales from January through the month you chose.
Actual YTDThe salon's sales over the same stretch: money actually taken in, with tips and card convenience fees left out. The same figure as Roll Up Sales with Include CC Fees off and as Weekly PE Summary.
Var to Budget $Actual minus budget. Negative means behind.
Var to Budget %The same gap as a share of budget.
PY YTDThe same stretch of the previous year.
YoY $ / YoY %This year against last year.

Rows arrive sorted by Var to Budget $, furthest behind first — that ordering is the point of the view, so this one column isn't re-sortable. Every other column is.

Which salons are listed

Every active salon is listed. A closed salon is listed when it has something to show for the period: sales in the year on the Actual view, a budget line in the year on the Budget view, and either one on the comparison view (sales in the same stretch of the previous year count too, so last year's total stays complete). A closed salon with neither is left out.

Blank is not zero

A cell with nothing in it means there is nothing to report for that month, not the figure is zero. Two common cases:

  • Months that haven't happened yet are blank on the Actual view, rather than showing $0.00 as though the salon sold nothing.
  • A salon with no budget line for a month is blank on the Budget view — the budget workbook simply didn't cover it.

Year totals follow the same rule: a total is only shown when there is something real behind it.

Because of this, the comparison view labels its totals by the month they actually run through, so a partial year is never mistaken for a full one.

The date the actuals run through

The comparison shows Actuals through and a date beside the totals. Budget to date is measured to that same day, so the two sides always cover the same days.

The date comes from the salons that are still trading. A salon whose sales are a few days behind the rest is measured to its own last day of sales, on both the budget and the sales side. A salon that has stopped trading is not treated as behind: its budget keeps counting through the month you chose, and it does not hold the date back for the other salons. Sales dated after today are ignored when working out the date.

Budget that isn't assigned to a salon

The report separates budget that is not assigned to a salon into two useful groups:

  • Planned opening — the budget belongs to a future location that has not opened yet. It still counts in the overall plan, but there are no sales to compare with it yet.
  • Needs attention — the location exists, but it is not included in the current comparison. Ask your corporate administrator to review the location setup.

A location that has closed is different: its budget stays with that location and is compared with the sales it earned before closing. The per-week breakdown on System Budget shows the same budget location by location.
