Call Log
Call Log shows who appeared on each saved daily outreach worklist and the notes or contact attempts logged for those exact appointments or events that day. It also gives staff activity summaries and the full table of contact attempts.
Find it in Salon Reports under Staff Performance (Shop Reports at Bishops, Studio Reports at Frenchies). The report runs for one salon at a time: the salon selected in the switcher at the top right of the page, shown beside Location in the report's filters. Pick a date range and click Run Report. The default range is the last 30 days, since this is an operational review window rather than an annual roll-up.
To look at another salon, change the switcher. The results on screen clear, so one salon's figures are never read as another's; run the report again for the newly selected salon. Every tile, breakdown, detail row and export covers that one salon.
If the switcher isn't on a salon, Run Report is unavailable and the page asks you to select one. The switcher lists only the salons your account can report on.
Expected outreach
The Expected outreach section groups saved worklists by salon-local date, salon, and queue: Call to Rebook, Declined autopay, and Wait list where that feature is available. Expand a group to see each guest, the outreach reason, appointment or event date, activity that day, and the latest entry. Guests with no logged attempt remain visible.
The Wait list queue doesn't appear for Bishops or Frenchies — their booking system runs its own waitlist.
- Contacted today means at least one staff contact was recorded against that item on that local day; it does not mean the guest was reached.
- No contact today means no qualifying staff contact was recorded against that item on that local day. A day with only a note reads No contact today with Note only beneath it: the note stays visible but is not a contact attempt.
- Last attempt appears under No contact today when the guest was contacted on an earlier day of the same stay on the list. It gives the date, the outcome and who made the contact, and how many earlier attempts there were. A guest called on Monday and still listed on Tuesday reads No contact today with Monday as the last attempt.
- No attempts since joining the list appears when the guest has been on the list since the date shown and nobody has contacted them in that time.
- View entries expands the entries for that exact item on that salon-local day. Notes and contacts receive the same preview treatment, with staff and absolute local time. This does not open all calls ever made to the guest.
For Call to Rebook, the link includes the campaign and qualifying appointment that generated the outreach. Repeat attempts about that appointment stay together; a later appointment starts a separate thread. Declined autopays match the guest and payment schedule date; wait-list entries match the specific entry.
A guest who stays on the list
A guest can stay on a worklist for several days. Each day is reported on its own terms, so the day's row always says whether anyone contacted the guest that day. Beside it, the report carries the attempts made on earlier days of the same stay, so work done on Monday is still credited on Tuesday.
A stay runs back through each earlier saved worklist that holds the same item, and ends at the first saved worklist that doesn't. A guest who drops off the list and comes back later starts a new stay with no carried attempts. A day with no saved worklist neither continues nor ends a stay. The report looks back up to 30 days before the first date in your range.
Each group's heading gives four counts and two percentages:
- Expected is the number of items on that day's saved worklist.
- Contacted that day is how many had at least one staff attempt that day.
- Contacted earlier is how many had no attempt that day but were contacted earlier in the same stay.
- Not yet contacted is how many have had no attempt at any point in the stay.
- % that day is contacted that day ÷ expected. % while on the list adds the guests contacted earlier.
Two attempts to the same item count as one covered item. Notes and automated entries do not increase coverage. Activity outside a saved worklist remains in All logged activity below. Where no detailed worklist exists, membership cannot be determined.
Capture time and unavailable history
Each group shows when its guest list was saved. The list holds the guests as they stood at that time, so it may not include everyone who entered the queue later that day. If a list is saved again the same day, the first one is kept.
A saved empty worklist explicitly says that no outreach items were expected. Older count-only records show their expected count and explain that guest details were not saved. Worklists not captured lists salon/queue days with no observation; these do not become zero-sized queues. Past guest lists are not rebuilt from today's appointment or payment records, which may have changed since.
If detail is added later on the same day to an older count-only record, the report uses that later saved guest list for exact coverage and shows its actual capture time. The original count remains preserved and is identified separately if it differs.
The report displays up to 5,000 expected items and the latest 50 entries per item, with a notice when limits apply. Worklist counts and coverage still include all saved items and qualifying attempts. Narrow the dates to see more guests.
What counts as an attempt
An attempt is a client contact a person logged, for example from the Front Desk Dashboard's Call to Rebook and Declined Autopays cards or the Clipboard / Wait List page (Log call).
Automated activity is excluded — nurture texts and emails the system sends on a schedule, and internal alert entries. Those aren't calls, and counting them would make a busy automation look like a busy front desk.
The activity summary tiles
- Attempts — how many contacts were logged in the range.
- Reached — attempts whose outcome is Reached, Booked, Resolved, or Declined.
- Contact Rate — Reached ÷ Attempts, as a percentage. The breakdown tables below call the same figure Reach Rate.
- Staff logging — how many people logged at least one attempt.
The breakdowns
Three tables follow Expected outreach and precede the activity detail, each with attempts, reached, and reach rate:
- By staff — one row per person who logged an attempt at this salon. Attempts are recorded against the salon they were logged at, so someone who also works at another location shows only their attempts here.
- By queue — Call to Rebook, Declined autopay, Wait list, or General (a contact logged outside a worklist).
- By channel — Call, Text, Email, or In person.
These are calculated over the whole date range, not just the rows shown below them. If the detail table is capped (see below), the summaries still cover everything.
All logged activity
One row per attempt, newest first: date, salon, staff member, client, queue, channel, direction, outcome, and a snippet of the note. The CSV export contains this activity table, not the saved expected-worklist section.
Long notes are shortened to a snippet here.
Very wide date ranges return the most recent 5,000 attempts, and the report says so when that happens — the summaries above still reflect the entire range. Narrow the dates to see every row.
Open to the same people as every other report in Salon Reports: corporate and admin users, and anyone with reporting access at a location that has Reports turned on. It runs on the location selected in the header switcher, and the switcher lists only the locations you have access to. The report shows guests' names and the notes staff logged.
